Context
SIS · Solusi Ijin Semarang is an agency that handles building permits for its clients, from KRK through PBG and SLF (Indonesian building permits). Before this system, the guest log, document control, application status, and document hand-over lived in several separate spreadsheets.
The system is built around four roles: the owner, admin and reception staff, field officers and drafters, and finance.
ChallengeApplication status had to be tracked on two sides
Every application moves through the agency and the government office, and its status could easily fall behind on one side. Physical files and who held them were hard to keep track of, and client invoices and payments were not linked to their applications.
Modules builtFour main parts in development
Guest log
Client visits are recorded in the system's guest log, replacing the separate spreadsheet.

Applications tracked on both sides
KRK, PBG, and SLF applications are tracked on the agency's side and the government office's side, so the team knows the stage of every application.
Document control
The movement of physical files is recorded, including who is holding each one.
Invoicing
Client invoices and payments are linked to their applications.
