From WhatsApp groups to a dashboard: mapping your order flow

How to map an order flow that currently runs in WhatsApp groups before moving it into a system.

Many businesses run orders through WhatsApp groups, and that works until the volume grows.

Start from the flow you have

  • Who receives orders, and where they are recorded.
  • Which steps happen until an order is complete.
  • At Brave Florist, for example, orders arrived through WhatsApp and Instagram, the team wrote them down by hand, and then passed them on to the florist arranging the bouquet. That hand-off is where orders were easy to miss.

From the map to a dashboard

Once the flow is mapped, each step becomes part of the system:

  1. Each order is recorded once, when it arrives, by the person who receives it.
  2. Order status is visible in the system, so nobody has to ask about it in the group again.
  3. The production team sees the queue and urgent orders on one screen.
  4. The owner sees the recap without rebuilding it from chats.

We start with the part that goes wrong most often, then add other modules in stages.
